Privacy Policy

This Privacy Policy explains how we handle personal data collected through the website octalen.com (the “Website”). It applies to visitors to the Website. Personal data we process in the course of providing paid marketing services to clients is covered by the separate agreement signed with each client.

1. Data controller

2. What we collect and why

We try to collect as little personal data as possible. The Website itself does not contain forms; the only personal data we receive is what you give us by emailing us or booking a call, plus a small amount of technical data collected automatically.

a) Privacy-friendly analytics (Plausible)

We use Plausible Analytics to understand how the Website is used in aggregate (page views, referrer, approximate country, device type). Plausible does not use cookies and does not collect personal data or persistent identifiers. The legal basis is our legitimate interest in measuring traffic and improving the Website (Article 6(1)(f) GDPR).

b) Server logs and security

Our hosting provider automatically logs technical data such as IP address, user agent and timestamps for the purposes of operating the Website, preventing abuse and ensuring security. The legal basis is our legitimate interest in the security and reliability of the Website (Article 6(1)(f) GDPR).

c) Booking a call (Cal.com)

When you book a call with us through the embedded Cal.com scheduler, you provide your name, email address, the time you select and any optional information you choose to share. This data is collected and stored by Cal.com on our behalf and used by us to schedule, prepare for and follow up on the call. The legal basis is the steps you ask us to take prior to entering into a contract (Article 6(1)(b) GDPR) and our legitimate interest in responding to enquiries (Article 6(1)(f) GDPR).

d) Email correspondence

If you write to us at hello@octalen.com, we will receive your email address, name (if provided) and the content of your message, and we will use this to reply. The legal basis is our legitimate interest in handling enquiries (Article 6(1)(f) GDPR).

3. Cookies

The Website does not use cookies for analytics or marketing. Plausible is cookieless. Some embedded third-party tools (such as Cal.com) may set their own cookies once you interact with them; those cookies are governed by the respective third party’s policy.

4. Who we share data with

We do not sell personal data. We share limited data with service providers (processors) who help us run the Website and respond to enquiries:

  • Cloudflare— hosting and content delivery for the Website.
  • Plausible Analytics— cookieless Website analytics (EU-hosted).
  • Cal.com— scheduling of introductory calls.
  • Email and productivity providers we use to receive and respond to your messages.

Each of these providers acts under a contract that requires them to process personal data only on our behalf and according to applicable law.

5. International transfers

Some of our service providers are based outside the European Economic Area. Where this is the case, transfers are protected by appropriate safeguards under the GDPR, such as the European Commission’s Standard Contractual Clauses or an adequacy decision.

6. How long we keep your data

  • Server logs: retained by our hosting provider for a short technical period (typically up to a few weeks).
  • Plausible analytics: aggregated only, no personal data is stored.
  • Booking and email enquiries: retained for as long as needed to handle the conversation and any resulting business relationship, and afterwards for as long as required by Polish accounting and tax law (in practice up to 5 years from the end of the relevant accounting year), or until you ask us to delete it, whichever is later.

7. Your rights under the GDPR

As a data subject in the EU/EEA you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted (where applicable);
  • restrict or object to certain processing, in particular processing based on legitimate interests;
  • data portability for data you provided to us;
  • withdraw consent at any time, where processing is based on consent (this does not affect the lawfulness of processing that took place before withdrawal);
  • lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, UODO), ul. Stawki 2, 00-193 Warsaw, Poland.

8. Automated decision-making

We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing.

9. Children

The Website is aimed at businesses and is not intended for children. We do not knowingly collect personal data from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. The current version, with its “Last updated” date, is always the one published on this page.
